Willbee Privacy Policy

Willbee is a tool that helps parents and guardiansturn their child's school assignments into step-by-step “missions.” This policy explains what we collect, why, who we share it with, and your choices. Because Willbee is used with children under 13, we have written it to comply with the Children's Online Privacy Protection Act (COPPA) and its 2025 amendments. Please also read our Parental Consent Notice and Data Retention & Deletion Policy.

1. The short version

• Parents hold the account. Children do not create accounts, do not provide email addresses, and cannot communicate with other users or the public.
• We collect only what's needed to run the app. We do not sell personal information, do not show third-party advertising, and do not allow advertising or tracking of children.
• Voice notes are transcribed on your child's own device; the audio is never uploaded — only the resulting text is stored.
• You can delete all of your data at any time from Settings.

2. Who can use Willbee

Willbee accounts are for adults (18+) who are the parent or legal guardianof the child(ren) they add. By creating an account you confirm you are that parent/guardian and are authorized to provide consent for your child's use.

3. Information we collect

From the parent (account holder):

• Name, email address, and password (authentication is handled by our database/auth provider; we do not store your password in plain text).
• Optional account settings (e.g., a parent PIN to protect “kid mode”, notification preferences).
• Co-parent invitations you send (the invited person's email address).

About the child — provided or generated by the parent's use, not entered by the child directly:

• The child's first name or nickname and a chosen avatar style (illustrated; not a photo).
• Optional learning-support preferences (“learner profiles”) you select to tailor the steps.
• Photos, PDFs, or text of school assignments you capture or upload for processing.
• Activity data generated as the child works: steps completed, time spent, hints used, mood check-ins, a “regular way vs. Willbee way” comparison rating, and gamification state (XP, levels, streaks, and “honey” balance / rewards).
• Voice notes (optional): a child may record a short spoken note (up to ~30 seconds) for their parent. The recording is converted to text on the child's own device; the audio is never uploaded or stored — only the text is saved, and only the parent can read it.

Technical/operational data:

• Basic information needed to deliver push notifications (a browser push “subscription” token), and standard server logs from our hosting provider for security and reliability.
• A locally-stored token on a paired “kid device” so it can reach only that child's data.

We do NOT collect: location data, contacts, photos beyond assignments you choose to upload, advertising identifiers, biometric identifiers, or government IDs. We do not knowingly collect more personal information from a child than is reasonably necessary for them to use Willbee.

4. How we use information

• To run the core feature: assignment images/text are sent to our AI provider (Anthropic, “Claude”) solely to generate the step-by-step missions. Anthropic does not use data submitted through its API to train its models, and we do not send your child's name, age, or your contact information to it.
• To show your family progress: activity data powers the progress views, XP, levels, streaks, and rewards.
• To communicate with the parent: transactional emails (e.g., assignment complete) and an optional weekly summary, plus push notifications you enable. These go to parents only.
• To keep the service secure and working: authentication, abuse/fair-use limits, and troubleshooting.

We do notuse children's personal information for any commercial purpose unrelated to providing Willbee. We do not sell or share personal information for advertising. We do not build advertising profiles.

5. Who we share information with (subprocessors)

We share information only with vendors that help us operate Willbee, under contracts that require them to protect it and use it only for our purposes:

We may add or change providers; material changes will be reflected here. We do not otherwise disclose personal information except: (a) to comply with law or valid legal process; (b) to protect the rights, safety, or security of users or the public; or (c) in connection with a business transfer, in which case we will require the successor to honor this policy or will give you notice and choice as required by law. We will never condition a child's participation on disclosing more information than is reasonably necessary.

6. Where data is stored

Data is stored with Supabase (database and private file storage, region us-east-1, United States) and the app is hosted on Vercel. Assignment images are stored privately and are accessible only to your signed-in account through short-lived, signed links.

7. Your choices and rights (parents)

As the parent/guardian, you may at any time:

• Review the personal information we have collected from your child;
• Delete any single assignment (and its images), or delete your entire account and all associated data from Settings → “Delete account & all data”;
• Refuse further collection by deleting the account (this also withdraws consent);
• Manage notifications and co-parent access.

To exercise any right or ask a question, contact jason@maglanstudios.com. We will respond within 30 days. We may need to verify you are the account holder before acting.

Depending on where you live, you may have additional rights under state privacy laws; we honor applicable requests.

8. Data retention and deletion

We keep personal information only as long as needed to provide Willbee and for the limited purposes described in our Data Retention & Deletion Policy — we do not retain children's personal information indefinitely. When you delete your account, we permanently remove the associated data from our active systems and from backups on the schedule described in that policy.

9. Security

We use industry-standard measures including encrypted transport (HTTPS), private storage with access controls (row-level security so a family can only reach its own data), hashed credentials and device tokens, and restricted server-side access. No system is perfectly secure, but we work to protect your family's information and will notify affected users and authorities of a breach as required by law.

10. Children's privacy (COPPA) summary

Willbee is designed for parents to use with children under 13. We collect children's personal information only with verifiable parental consent, obtained when the parent creates the account and adds a child (see the Parental Consent Notice). A parent may review the child's information, refuse to permit further collection, and require deletion — all from Settings or by contacting us. We do not require a child to disclose more than is reasonably necessary, and children cannot make their information public.

11. Changes to this policy

If we make material changes, we will update the effective date and notify account holders by email, and, where the change materially affects previously-collected children's information, obtain new parental consent as required by law.
